ABSTRACT
Human Resource Management System (HRMS) plays an important role in managing employee information and supporting the effective functioning of organizations. In many small and medium-sized organizations, employee data is still maintained using manual methods such as physical records, registers, and spreadsheets. These traditional approaches often lead to problems such as data redundancy, difficulty in retrieving information, lack of security, and inefficient management of employee records. As organizations grow and the number of employees increases, maintaining employee information manually becomes complex and time-consuming.
To overcome these challenges, organizations are adopting automated systems that help manage employee data more efficiently. The Human Resource Management System developed in this project is a web-based application designed to simplify and automate the management of employee records. The system provides a centralized digital platform where administrators and employees can access and manage employee-related information in an organized manner.
The main objective of the HR Management System is to replace traditional manual record-keeping methods with a computerized system that allows efficient storage, retrieval, and management of employee data. The system enables the HR department to maintain accurate employee records while reducing paperwork and minimizing administrative workload. By implementing a web-based system, organizations can ensure that employee information is stored securely and accessed whenever required.
The HR Management System consists of two main modules: the Admin Module and the User Module. The Admin Module allows administrators to manage employee records by adding new employees, updating existing employee information, viewing employee details, and deleting records when necessary. The User Module allows employees to log in securely and manage their personal profile information. Employees can update personal details, add education and work experience information, and change their account passwords.
The system is developed using modern web technologies such as Java Servlets and JavaServer Pages (JSP) for backend processing, HTML and CSS for the user interface, and MySQL as the database management system. The application is deployed using the Apache Tomcat web server, allowing the system to operate as a web-based platform accessible through a browser.

The HR department is responsible for maintaining employee records, handling recruitment processes, monitoring employee performance, and maintaining proper communication between management and employees.
In many organizations, employee information has traditionally been maintained using manual methods such as paper files, registers, and spreadsheets. Although these methods may work for small organizations, they become inefficient and difficult to manage as the number of employees increases. Manual record management can lead to several problems such as data duplication, difficulty in retrieving information, lack of proper security, and increased chances of human errors. As organizations grow, managing employee records manually becomes complex and time-consuming.

OBJECTIVES
The primary objective of the Human Resource Management System (HRMS) is to design and develop a web-based application that simplifies and automates the management of employee information within an organization. The system aims to replace traditional manual methods of managing employee records with a digital solution that is efficient, secure, and easy to use.
The major objectives of the HR Management System are listed below:
• To develop a centralized employee management system
The system aims to provide a centralized platform where all employee information can be stored in a structured database. This allows organizations to manage employee records efficiently and access them whenever needed.
• To reduce manual paperwork
One of the major objectives of this project is to eliminate the need for maintaining employee records manually in physical files. By digitizing employee data, the system reduces paperwork and simplifies HR operations.
• To provide secure login authentication
The system provides secure login functionality that allows only authorized users to access the system. Administrators and employees are given separate access privileges to ensure data security.
• To allow administrators to manage employee records
The admin module allows administrators to add, update, view, and delete employee records. This ensures that HR staff can maintain employee information effectively.
• To improve efficiency of HR operations
By automating routine HR tasks such as employee record management, the system significantly improves the efficiency of HR departments.

SYSTEM REQUIREMENTS
The successful implementation of the Human Resource Management System (HRMS) requires appropriate hardware and software components to support the development and execution of the web-based application. System requirements define the minimum configuration needed for the application to function efficiently. Since the HRMS is developed as a web-based system, users can access the application through a web browser without requiring complex installation procedures.
The system requirements are broadly divided into hardware requirements and software requirements. Hardware requirements describe the physical components required to run the application, while software requirements define the technologies and tools used to develop and deploy the system.
Hardware Requirements
The HR Management System can run on standard personal computers or laptops with moderate hardware specifications. A computer with at least an Intel Core i3 processor or an equivalent processor is sufficient to run the application and development tools. However, an Intel Core i5 or higher processor is recommended for better performance during development and testing.
The system requires a minimum of 4 GB RAM to run development tools, database services, and the web server simultaneously. For smoother performance and multitasking, 8 GB RAM is recommended. A minimum of 20 GB of available disk space is required to store the project files, development tools, and database files. Using solid-state storage (SSD) can improve application performance.
Basic input and output devices such as a keyboard, mouse, and monitor are required to interact with the system. A stable internet connection may also be useful for downloading dependencies, documentation, and development resources.
Software Requirements
The HR Management System is developed using Java-based web technologies. The application can run on operating systems such as Windows, Linux, or macOS. In this project, the system was developed and tested using the Windows operating system.
Java is the primary programming language used for developing the system. Java Development Kit (JDK 17) is required to compile and execute the application. The system uses Java Servlets and JavaServer Pages (JSP) to handle server-side processing and generate dynamic web pages.
HTML and CSS are used to design the user interface of the system, ensuring that the application is simple, organized, and user-friendly. MySQL is used as the relational database management system to store employee records such as personal information, login credentials, education details, and work experience.
Apache Tomcat server is used to deploy and run the web application. Tomcat acts as the servlet container that processes user requests and sends responses to the browser. The project is developed using IntelliJ IDEA as the integrated development environment (IDE), which provides tools for coding, debugging, and project management. Maven is used as the build and dependency management tool to compile the project and package it into a deployable WAR file.
